By accessing our website, submitting an enquiry, or making a booking, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
1. About SapaEase
SapaEase is an independent travel platform that provides travel information and facilitates bookings with trusted local guides, drivers, accommodation providers, and licensed tour operators in Sapa and surrounding regions of Northern Vietnam.
2. Booking Policy
All bookings are subject to availability and confirmation.
A booking is considered confirmed only after written confirmation has been issued by SapaEase and, where applicable, the required deposit or payment has been received.
Prices, itineraries, and service availability may change prior to booking confirmation.
3. Payment Terms
Payment requirements vary depending on the service booked.
A deposit may be required to secure a reservation. The remaining balance must be paid according to the payment instructions provided during the booking process.
Failure to complete payment within the agreed timeframe may result in cancellation of the reservation.
4. Cancellation & Refund Policy
Cancellation requests must be submitted in writing.
Refund eligibility and cancellation charges depend on the policy of the relevant service provider.
No refund will be issued for unused services, late arrivals, missed departures, or voluntary early departures after the tour or service has commenced.
5. Changes to Itineraries and Services
SapaEase reserves the right to modify itineraries, schedules, transportation, accommodation, or other travel arrangements when reasonably necessary due to weather conditions, road closures, government regulations, operational requirements, or other circumstances beyond our control.
Where possible, a suitable alternative service of comparable value will be offered.
6. Health & Fitness
Some tours may involve trekking, hiking, outdoor activities, uneven terrain, or remote mountain areas.
Travelers are responsible for ensuring that they are physically fit and medically able to participate in the selected activities.
Please inform us in advance of any medical conditions, allergies, injuries, mobility limitations, or other health concerns that may affect your participation.
7. Traveler Responsibilities
Travelers are responsible for:
* Providing complete and accurate booking information.
* Arriving at the designated meeting point on time.
* Following all safety instructions provided by guides and drivers.
* Respecting local customs, traditions, communities, and the natural environment.
* Taking reasonable care of personal belongings throughout the trip.
8. Limitation of Liability
SapaEase acts as a booking facilitator and works with carefully selected local service providers.
To the fullest extent permitted by applicable law, SapaEase shall not be liable for any loss, injury, delay, damage, additional expense, or inconvenience arising from circumstances beyond our reasonable control, including but not limited to adverse weather, natural disasters, road conditions, government actions, transportation delays, pandemics, or the acts or omissions of independent third-party service providers.
Participation in outdoor and adventure activities is undertaken at the traveler’s own risk.
9. Force Majeure
SapaEase shall not be held responsible for any delay, cancellation, modification, or failure to perform services resulting from events beyond our reasonable control, including but not limited to natural disasters, extreme weather, floods, landslides, earthquakes, pandemics, epidemics, government restrictions, border closures, strikes, civil disturbances, or other unforeseen events.
10. Privacy
Any personal information collected through our website or during the booking process will be used solely for providing the requested travel services and customer support.
We respect your privacy and do not sell or disclose your personal information to third parties except where necessary to complete your booking or where required by law.
11. Intellectual Property
Unless otherwise stated, all content published on this website—including text, photographs, graphics, logos, designs, and other materials—is the intellectual property of SapaEase or its respective owners.
No content may be copied, reproduced, distributed, modified, or used for commercial purposes without prior written permission.
